Efficient Ways of Working with Microsoft Exchange Data
If you are working with an account on Microsoft Exchange Server, you might find it more convenient to work offline with the Exchange data rather than having to worry about losing connection to the server and even losing important data. When you use Outlook to work on the Exchange data offline, it essentially makes a local copy of the mailbox on the Exchange server for you to work on, in the form of OST files. You can continue working on your mails, make appointments and make calendar entries as though you were still connected to the server. The next time you connect to the server, these folders will be automatically synchronized with the ones on the server and all changes will made uniform. Damaged OST files can be a real problem though, since that would mean that you could lose all the changes you have made so far. One way to ensure that all your data stays protected is to use Advanced Exchange Recovery to convert OST to PST files since these can be easily accessed by Outlook or other compatible software.
Outlook will normally give you an option of working offline or online when you work on your Exchange server data. You can set up Outlook to prompt you so that you can decide if you would like to stay connected when you work or whether you would like to disconnect and then continue working. On the other hand, when you use Outlook in the cached exchange mode, Outlook continues to work in the offline mode even if a connection is available. This is far more efficient since you do not have to worry about lost connections in the middle of work and Outlook ensures that your changes are frequently synchronized with the folders on the server. Every once in a while though, there are problems with synchronization and you may have to find ways of converting OST to PST files to avoid losing your changes.
